Today, we discuss a tech dilemma that might be costing you more than just a few gray hairs. It's practically a rite of passage in every office. The infamous 'printer won't connect to Wi-Fi' dilemma.

Did you know some variation of "my printer won't connect to Wi-Fi" is searched on average 5,000 times a day? So there's no need to feel bad if you are reading this in front of a red, blinking screen waiting for those magic bars to fill up in the top right corner. We've all been there. We're hoping that after reading this article, you'll not only know how to get your printer back on Wi-Fi but also have a clear path forward if you need further assistance beyond what we've covered here.

Now on to the problem. Don't blame yourself; there are a number of reasons a printer's network connection can disappear, and it's not always user error. At its core, this problem boils down to a few common culprits:

  1. Physical wire disconnection(for wired network printers): Cables may come loose over time due to movement or slight tugs. It sounds basic, but an unplugged or slightly disconnected cable is all it takes for a communication breakdown between devices.

  2. Network confusion: Your printer might be trying to connect to an old or incorrect Wi-Fi network.

So we have determined our most common root causes. Now, let's create solutions for each and systematically solve this problem. If you get to the end and your printer is still not connected, don't fret! We'll give you instructions for how to contact your printer and network provider, and specific things to say to help speed up the process.

Physical wire disconnection(for wired network printers only): I know I may lose some of you because of how simplistic this may be. You may be saying to yourself, "I already checked the wire! Why is this idiot telling me to do the same thing again? It's obviously more complicated than that!" The funny thing about tech is however complicated it gets, the less we think of simple solutions. But sometimes, simple solutions are the answer!

  1. Check the wired connections on BOTH ENDS. Both the printer and the network cable should be securely fastened to the devices. If the cables are connected, and there's no severance along the cord, we can scratch physical connection off the list!

  2. Network confusion: Moved offices recently? Had a change of network provider? When your network infrastructure changes (new office, new provider), printers often fail to automatically detect and connect to the new network. They retain configurations for the old network, leading to connectivity errors and "printer offline" messages. To resolve this, you'll need to manually update the printer's network settings (SSID and password) to match the new network environment.

To update your printer's Wi-Fi:

  1. On the printer's screen, find "Setup," "Network," or "Wireless" settings.

  2. Select "Wireless Setup" or similar.

  3. Choose your new Wi-Fi network (SSID) from the list.

  4. Enter the Wi-Fi password (WPA2 key) carefully.

  5. Confirm, and the printer should connect.

3. Software glitches: Sometimes the problem isn't the hardware, but the software talking to it. Corrupted print drivers, outdated operating system updates, or even conflicting applications can cause your printer to freeze, show cryptic error codes, or simply refuse to print. Often, a simple driver reinstallation or a system reboot can clear these digital cobwebs and get things flowing again.

For Corrupted Print Drivers:

  1. Uninstall: Go to your computer's "Devices and Printers" (Windows) or "Printers & Scanners" (Mac), and remove the problematic printer.

  2. Reinstall: Download the latest driver directly from the printer manufacturer's website and install it.

For Outdated Systems/Conflicting Apps:

  1. Reboot: Often, a simple computer restart resolves temporary software conflicts and clears system errors.

  2. Update: Ensure your operating system (Windows Update, macOS updates) and printer's firmware (check the manufacturer's site) are fully updated.

4. Software Glitches: Your printer needs its own network address, an IP address, to talk to your computers. If two devices accidentally try to use the same IP address, like your printer and another computer, they’ll conflict. This means neither device can communicate properly. Your printer might disappear from the network, ignore print jobs, or print randomly. It's like two houses with the same street number; the mail won't get delivered correctly. To fix this, restart your router to reassign addresses, or give your printer its own unique IP address.
